Tennis Factory may, from time to time, review and update this Terms & Conditions. The most current version will always be posted on this page.

Payments

On-going – Our coaching program runs for 40 weeks per year. Participants enrolling into our coaching program will be charged fortnightly in advance from their nominated credit card or bank account. Please remember your enrolment and payment authority remain in place until you notify us of your intention to cease. Put simply, if you want to stop lessons, we need 14 days notice in writing. Please email admin@tennisfactory.com.au if you wish to cancel your classes with us.

There is an initial minimum 10 week commitment when signing up for our coaching program, whether you are new to our program or you are starting back again after a break.

We do not coach on public holidays and you will not be charged if your weekly lesson falls on a public holiday.

We offer pay-per-play for some of our programs. These programs include-

  • School Holiday Tennis Camps
  • Cardio Tennis
  • Adult Drills
  • TW Junior League/pennant fees
  • Junior & Adult Competitions
  • Adhoc private lessons (for a regular weekly private lesson you will need to sign-up for our on-going program)

Public Holidays & Long weekends

There will be no group lessons on public holidays. Group lessons will go ahead on Saturdays during long weekends (i.e. when there is a public holiday on the Monday, apart from the Saturday at Easter).

Coaches may be available for private lessons on public holidays.

Heat & Wet Weather Policy

Excessive Heat: Group lessons may be cancelled if the temperature at the venue is 37 degrees celsius or above, or is, in our judgement, likely to be excessively hot during the lesson time.

Rain: Group lessons may be cancelled in wet weather, or if, in our judgement, it is likely to be wet during the lesson time.

Please assume your lesson will go ahead unless you have received an SMS cancellation message from us. In particularly bad weather we will cancel the lesson via SMS 45mins-1hour prior to the lesson start time. Please do not contact us to ask if the lesson is on as staff may well be on court and not in a position to answer your calls. If you choose not to attend, then you risk missing the class and no make-up lesson will be offered. Please respect that we may need to cancel a lesson immediately prior to the lesson start time in unpredictable weather.

Please ensure we always have a current mobile number on which to contact you.

Cancellation of one group lesson does not necessarily mean that other lessons will be cancelled that day. Some lessons may take place indoors.

For any classes cancelled due to excessive heat or rain you will be offered a make-up class.

For private lessons, please call your coach to find out if your lesson will go ahead.

Make-up & Cancellation Policy

For lessons cancelled due to heat or wet weather you will be offered a make-up class.

There are 3 options to choose from-

  1. If a lesson has been cancelled due to rain or heat, you will receive a make-up offer towards/at the end of term (Week 8-10) via email. For juniors this is generally Tennis Camp during school holidays (valid for 12months). For adults it may include continuing the same day and time you normally do, but during the school holiday period (not term-time).
  2. If you would prefer to attend a make-up lesson during the same term in an equivalent class on a different day/time, please advise the office via email so this can be arranged. If you choose this make-up option, the lesson must be completed by the end of the term.
  3. If none of the above options work for your schedule, you can choose to have your account credited for the following term of classes by responding to that email and requesting credit instead.

Make-ups for illness, School Camp etc

Group classes – If you are unable to attend a lesson due to illness or school camp etc, you must notify us prior to your lesson with sufficient time in order to be eligible for a make-up lesson.

Sufficient time is considered –

  • AM lessons – 6pm the night prior
  • PM lessons – 9am on the day of the lesson

Please email admin@tennisfactory.com.au to advise us if you are unable to make your lesson, so we can mark the missed lesson in our system.

Your make-up class must be taken before the end of the term and cannot be carried over to the next term. To book your make-up class go to your customer portal, select > Coaching > Redeem Lesson credits.

Please note no make-ups will be offered for non-attendance of group classes if you haven’t given us sufficient time. If you cannot attend your arranged make-up lesson, no additional make-up lesson will be offered.

If you have a valid medical reason which prevents you/your child from attending three or more classes in a row, please advise us asap and we will look to either stop your Direct Debit until you/your child are better or offer credit for future use.

Private lessons – No make-up class or credit will be given for the cancellation of a private lesson unless 24 hours’ notice is given. Please call your coach to cancel a lesson.

Make-up FAQ’s –

Q: I have notified Admin that my child cannot make their group lesson within the necessary time and have requested a make-up class. Will a make-up be arranged?

A: Yes. Admin will respond and advise that your account has been credited with a make-up class. You will be able to login to your customer portal and book yourself a make-up class.

Q: Can make-up classes be carried over to the next term?

A: No they cannot.

Q: I have picked up my child after-school and they are not feeling well. Can I get a make-up class?

A: Unfortunately the notice is too late for a make-up class to be given.

Q: You cancelled my lesson due to rain, what is the process for making this lesson up?

A: Please see Heat & Wet Weather Policy.

Q: Rain has been falling and we are unsure if the lesson is going ahead. What is the process?

A: If you do not receive a text message from us 30mins-1hr prior to your child’s/your lesson start time, the lesson is going ahead as normal. If there is rain during the session the lesson may be made up if there is no indoor option for the coach to conduct off-court tennis activities, however if the first 15 minutes of the lesson has been conducted without rain the class is counted as having been completed.

Q: I book into ad-hoc Cardio Tennis classes, and I have to cancel. What do I do?

A: You must have given us sufficient time (please see Make-up & Cancellation Policy). If you have cancelled with sufficient time, your booking will be cancelled and your pass will go back onto your account for future use.

Q: My child broke their arm and cannot attend for an extended period. Can I get a credit for this?

A: Yes. Please advise us immediately of your child’s injury and we will either stop your Direct Debit until they are better or offer you credit for future use.

Q: We will be travelling for 3 weeks during the term and have given you notice prior to the start of the term. Will these lessons be made-up or credited?

A: Provided you have given notice at the beginning of the term. Yes, this is possible. Please discuss options with Admin on whether your Direct Debit can be paused or whether you will be credited for next term instead. The decision on which, is at the discretion of Admin.

Supervision of Juniors

Tennis Factory coaches are not responsible for supervising children outside of lesson time.

Changes to Lesson Schedules

Occasionally we may have to make changes to our published schedule, including cancelling a published group lesson, creating an additional group lesson, or changing the day/time of a group lesson. We will endeavour to keep the schedules up-to-date on our website.

If there are insufficient enrolments at the beginning of a school term for a scheduled group lesson to be viable, we may cancel that group for the term.

Anyone who is enrolled in a scheduled lesson that is subsequently cancelled will be offered alternative time slots or given a refund of fees paid.

Hot Shots/Cardio Tennis Registration

By enrolling in any Hot Shots (red, orange or green ball) group lesson or tournament, or in any Cardio Tennis session, you give us permission to register you as a participant with Tennis Australia (TA). This will include passing your contact details to TA. If we register you, you will receive benefits including a free T-shirt.

Walking Bus (available from Rosalie PS only)

Tennis Factory operates a Walking Bus on Monday, Tuesday and Thursday afternoon for pre-primary to year 6 students who attend Rosalie Primary School.

Booking in – Parents must ensure that they have booked online, selecting the appropriate tennis class and Walking Bus option for the day of the tennis class. The class and Walking Bus payments must be paid before the day that their child is due to start their tennis lessons at Onslow Park Tennis Club. The Walking Bus is only available for students booked into a 3.30pm class. The Walking Bus is not available for students attending classes starting after 3.30pm.

Sickness or non-attendance – If your child is sick or is not attending their lesson on a day, please contact the office by calling 6365 2909 or emailing admin@tennisfactory.com.au to advise us.

How the Walking Bus works

At the school – Once school has finished at 3.10pm, Year 2-6 students will go to the flagpoles in the front school playground and wait until a Tennis Factory member of staff arrives. A Tennis Factory member of staff will pick-up Pre-primary to Year 1 pupils from their classrooms (Early Learning Centre – the red brick building) and walk those students to the flagpoles. Staff will be wearing identifiable uniform for children to recognise them.

Our staff will have a list of children’s names that are required to be collected from the school. This list will also contain parent contact phone numbers. Staff will wait with the children until 3:20 pm to ensure everyone is picked up. For any child who we haven’t been advised that they are not attending, we will call you to find out why your child is not there. Once we have all children accounted for, we will then walk them to the tennis club premises.

Our staff have Working with Children check cards and the majority are first aid trained. Staff will be wearing identifiable uniform for children to recognise them. The ratio of supervision is 1 staff to 10 children.

At the tennis club – The club is secure with permanent fencing all around and a lockable gate at the entrance. Children will be supervised within the confines of the tennis club until their tennis lesson begins at 3:30pm.

At the conclusion of the class, there is an expectation that parents/guardians will collect their child from the tennis lesson. Once the tennis lesson has finished, responsibility for the safety of the child is then with the parent/guardian.

Bad weather – Our normal conditions of cancellation of lessons due to inclement weather remain the same with a text message sent to parents 45mins-1hr prior to the Walking Bus. Safety – Tennis Factory has the right to not accept children who misbehave frequently and endanger the safety of others.

Any costs incurred as a result of an accident are the parent’s responsibility and Tennis Factory staff are not responsible for any loss or damage to your child’s personal property that may occur either in the transportation of the child to the courts or when at the courts.

CONSENT

I agree to inform Tennis Factory before the scheduled Walking Bus departure if they will not be attending due to sickness or are not attending school that day etc.

By ticking the terms and conditions box you are accepting the terms and conditions of the Walking Bus in full.

Media Consent

By accepting these Terms & Conditions you grant Tennis Factory permission to use photographs and/or videos of yourself and/or your children.

Such use includes the display, distributions, publications, transmissions or otherwise use of photographs and/or videos taken for use in print and electronic materials such as brochures and newsletters, as well as on social media accounts such as Facebook and Instagram.
